How to Securely Share Files in Microsoft OneDrive

Introduction

This document provides guidelines for sharing and requesting OneDrive files and folders in your organization. This will help employees work together in a secure way both internally and with any third-party organization, while enhancing business collaboration. By leveraging Reco’s Business Context Justification engine that maps high-impact business initiatives, you can reduce the risk inherent to digital collaboration, while enabling business acceleration through collaboration using OneDrive.

Step by step guide for sharing files with an external or internal accounts using OneDrive

  1. Login to OneDrive in Office.com

2. Select the file you’d like to share from the list of your files on OneDrive

  • Click on the 3 dots

  • Select “Share”

2.1 If you’d like to share a folder with several files - follow similar step, but on the folder level - see below

3. After clicking “Share”, you’ll see that another screen opens - this allows you to select the visibility and security settings of the file

  • Click on the “>” sign, next to the sentence “Anyone with the link can edit”

4. Based on the file content and your purposes of sharing the link, select the appropriate setting from:

  • “Anyone with the link” (the file will be accessible to anyone who gets the link, including hackers / external threats)

  • “People in Reco with the link” (the file will be accessible to anyone within your organization)

  • “People with existing access” (if you already provided access to specific people, the file will be accessible to the same people)

  • “Specific people” (only specific user’s email addresses will be accessible)

5. After selecting the visibility settings, click on the arrow bottom next to “Can edit”, to select the edit permission that individuals who can access the file should have. Also here, consider the purposes of sharing the file and the content, to select the appropriate option.

6. Please note that after selecting the desired editing right, you also have the option to:

  • “Set expiration date” (after this date the link will be accessible)

  • “Set password” (protect your data with password for opening the link)

  • “Block download” (block the option to download the file and lose the traceability of the data)

7. Click “Apply” to continue with the selected settings

8. The files are now accessible to individuals based on the setting selected. In order to share the files, you can copy the link and send it via email or any other Organizational approved communication tools

How to request files to be uploaded to your Onedrive, from an internal or external account:

  1. Create a folder in your Onedrive account, where you’d like to receive the files to, and:

  • Click on the 3 dots

  • Select “Request files”

2. Type the names of the files you are requesting to upload.

  • Please note that recipients will only be able to upload files only

  • Click “Next”

3, To share the link for the files request, you can either:

  • Copy the link the files request and send it via email or any other organizational approved communication tools

  • Type in the email address of the individuals you’d like to request the files from

3.1 Click “Done”
